Cancellation Policy
1. Booking Modifications and Cancellations
Modifications or cancellations must be made at least 7 days before departure.
Fare differences may apply at the time of change.
Amendment Penalties (Domestic Routes):
- Within 7 days of departure: USD 25
- Within 48 hours of departure: 50% of ticket fare
- Within 24 hours or No-Show: 100% forfeiture
Cancellation Penalties (Domestic Routes):
- Within 72 hours: 50% of ticket fare
- Within 48 hours or No-Show: 100% forfeiture
Tickets are non-refundable but may be held as credit for up to 6 months from the date of cancellation. Credit may be transferred to another passenger upon payment of a transfer fee.
2. Charter Flights
For private charter flights, cancellation penalties apply as follows:
- Cancellation 15–7 days before departure: 25% charge
- Cancellation 7–2 days before departure: 50% charge
- Cancellation less than 48 hours before departure: 100% charge
Terms & Conditions
1. Definitions
- “Ticket” means a passenger ticket and baggage check, or, in the case of an electronic ticket, the itinerary/receipt issued by or on behalf of Akagera Aviation (“the Carrier”).
- “Carriage” refers to air transportation of passengers and/or baggage.
- “Carrier” means Akagera Aviation or any other carrier providing carriage or services incidental thereto.
- “Electronic Ticket (E-Ticket)” means the digital itinerary/receipt issued by the carrier and, where applicable, a boarding document.
- “Montreal Convention” refers to the Convention for the Unification of Certain Rules for International Carriage by Air, signed at Montreal on 28 May 1999.
2. Applicability and Liability
The liability of Akagera Aviation in respect of passenger carriage is subject to the Montreal Convention and the Rwanda Civil Aviation (Air Transport Operations) Regulations, as applicable.
3. Check-In and Boarding
- Check-in counters close 45 minutes prior to scheduled departure time.
- Boarding gates close 15 minutes before departure.
- Passengers arriving after check-in closure will be marked as No-Show and will forfeit their ticket.
- Valid photo identification (National ID for nationals/residents or passport) must be presented at check-in.
- Akagera Aviation reserves the right to deny boarding for security or operational reasons.
4. Baggage Allowance
- Total baggage allowance (including hand baggage) is 15 kg per passenger.
- Cabin baggage must not exceed 5 kg.
- Excess baggage is accepted subject to aircraft capacity and charged at the prevailing rate.
- For carriage of equipment or heavy items beyond 20 kg, passengers may be required to book a freight seat.
- Akagera Aviation is not liable for loss or damage to valuables (cash, electronics, jewelry, documents) packed in checked baggage.
5. Freight
Freight carriage is subject to space and weight availability and the Captain’s discretion. Liability is limited to USD 20 per kg for lost or damaged freight as per the Montreal Convention. Customers are advised to insure high-value cargo separately.
6. Infants and Children
- Infants (under 2 years) travel free of charge if not occupying a seat.
- Children (2–11 years) are carried at 75% of the adult fare.
7. Carriage of Pets
For safety and hygiene reasons, pets are not permitted on scheduled domestic flights unless prior written approval is obtained and the animal is in an airline-approved carrier.
8. Unaccompanied Minors
Unaccompanied minors under 12 years are not accepted on scheduled flights. Infants under 2 weeks of age are not accepted for travel.
9. Security and Firearms
Firearms and ammunition must be declared at check-in and handled in accordance with Rwanda Civil Aviation Authority security regulations. Carriage without declaration is prohibited.
10. Flight Schedules and Delays
Akagera Aviation will make every effort to operate according to published schedules but reserves the right to:
- Adjust departure times or routing for operational, safety, or weather reasons.
- Substitute aircraft or combine flights if necessary..
Times indicated on tickets are approximate and not guaranteed.
11. Delay Management
- Refreshments or meals will be provided as appropriate for significant delays attributable to Akagera Aviation.
- For delays requiring overnight stay, the airline will contribute up to USD 50 per passenger toward accommodation and meals.
No compensation is payable for consequential losses such as missed connections.
12. Taxes and Fees
Government taxes, fuel surcharges, and safety fees are subject to revision without prior notice.
13. Conduct and Safety
Akagera Aviation reserves the right to deny boarding or offload a passenger if, in its judgment, the passenger:
- Poses a threat to safety, comfort, or order.
- Is under the influence of alcohol or drugs.
- Refuses security checks or safety instructions.
- Uses abusive or threatening language toward staff or passengers.
14. Dangerous Goods and Restricted Items
Transport of dangerous goods (explosives, corrosives, lithium batteries, flammable items, etc.) is strictly prohibited unless declared and accepted under RCAA Dangerous Goods Regulations.
15. Group Travel and Aircraft Weight
Due to aircraft type and load limitations, groups may occasionally be split across multiple aircraft. Passenger or baggage weights may be verified for safety reasons.
16. Claims and Jurisdiction
All claims or disputes must be submitted in writing within 7 days of the incident. The laws of the Republic of Rwanda shall govern all disputes, which are subject to the jurisdiction of Rwandan courts.
17. Connections and Responsibility
Akagera Aviation shall not be liable for missed onward connections with other carriers or ground transport arrangements beyond its control.
18. Smoking Policy
All Akagera Aviation flights are non-smoking.
19. No Waiver
No agent or representative of Akagera Aviation is authorized to alter, modify, or waive any of these Conditions of Carriage.
